5 Easy Ways To Back Up Your Microsoft Outlook Data

This is another of those things that one learns from unwanted experience. If you are in the majority who has experienced a system crash, then you will empathize with the hair tearing fits that accompany the loss of saved mails, contacts and sundry email data.
For those whose preferred email client is Microsoft Outlook 2007 on a standalone machine, here are five ways to backup your Microsoft Outlook data, avoid stress and save your data. Please note that the following applies to data files only and not to toolbar settings, signature files and profile entries.
  1. Manually copy your Outlook file

    • The default location for XP is C:/Documents and Settings/%username%/Local Settings/Application Data/Microsoft/Outlook/
    • The default location for Vista isC:/Users/%username%/AppData/Local/Microsoft/Outlook/
  2. Outlook stores all mail information in a single file with an extension “˜.pst‘. A “˜personal storage table’ file stores all account data like mails, contacts, journal, notes and calendar entries.
    The PST file can also be accessed by following File ““ Data File Management ““ Select the Data File tab. Select your personal folder(s) and click on Open Folder”¦
    After locating the file backing it up to any secure space like a different drive, a CD-ROM or a USB Drive is a simple process of copy-paste.
    To restore the data, go to File ““ Open ““ Outlook Data File ““ Browse to the backup location and select the file. In case of an error, right-click and deselect the Read onlyattribute in the PST file’s Properties tab.
    2.Relocate your Outlook file
    In the same way we keep our other precious files from harm’s way by saving it in a different partition, we can also change the default location of the Outlook PST file. Here’s a walkthrough”¦
      1. Close Outlook
      2. Locate the PST file through the default path as mentioned before.
      3. Copy it to another partition.
      4. (As a precaution rename the PST file in the old location. For instance, change Outlook.pst to Outlook.old. In case something fails, you can return to the old file.)
      5. Restart Outlook ““ when the prompt comes up use the browse button to direct Outlook to the new location.
      6. Update any Wizard rules you might have customized with the new path.
    1. Import and Export helps out

      It is a 5-Step process which exports your mail folders to any designated location. Import and Export in Outlook 2007 allows you to export the entire Personal folder or selected folders to another location (or partition).
      1. Click on File ““ Import and Export”¦

    2. To restore the data, similarly follow the wizard starting with File ““ Import and Export”¦- Import from another program or file – Personal Folder File (.pst) ““ browse to backup location and click finish.
      Note: The Import and Export way is not sacrosanct because it does not backup user set settings (i.e. the folder design properties) like view options, forms, permissions, rules and alerts or auto-archive settings.
    3. The Personal Folders Backup Add-In to the rescue

    4. The earlier steps might send the work-shy among us into a slumber. The help of a Microsoft Outlook Add-in – “˜Personal Folders Backup‘ saves us a few mouse clicks. It simply creates backup copies of the PST files at regular intervals to a designated location.
      With the 159KB download installed, browse to File ““ Backup. The Options setting in the tool lets you select the frequency of backups, the files to backup and the location to backup to.
      The Personal Folders Backup Add-In is supported by Outlook 2007, 2003 and 2002.
    5. Go for a Third Party software

Amic E-Mail Backup – A Good Thing in a Small Package


Good things they say come in small sizes. The Amic free email backup utility proves this idiom to the letter. Behind this 1.3 MB tool is Alexandru Marias, a computer programmer whose belief lies in creating easy to use Windows tools. After using the tool, Alexandru has my vote at least. I am surprised it didn’t make to earlier published5 Ways to Backup Email.
Amic v2.0 simply is an email backup and restore software program. It supports most of the major email clients like MS Outlook, MS Outlook Express, Eudora, Incredimail, Opera Mail, Pegasus, The Bat, PocoMail and Netscape Messenger. It also covers the entire spectrum of content within an email program – email and news messages, address book, account settings, message rules, signatures, stationery, multiple user identities and also doesn’t miss out on the blocked senders list.
There are three core functions which Amic takes care of.
1. Mail backup
2. Mail restore
3. Backup scheduling
Amic gives the user a choice between two interfaces, Standard and Wizard. Both interfaces are simple to understand and use, though my personal mouse click would be for the wizard. The ‘cool quotient’ beats the blandness of the standard mode hands down.

The Mail Backup Process

Hey! We are not talking rocket science here. The process to backup your mail is as simple as 1-2-3. The software also saves you a bit of trouble by detecting all the mail clients on installation. Select the email client, choose the items to backup, specify the location of the file and presto – it’s done.

The Mail Restore Process

Again, simplicity in reverse. Choose the backup file to restore from, choose the items to restore, now choose to directly restore to the mail client or restore to a custom folder (for later import using the mail client), and the job’s done.

The Backup Schedule Process

Select the mail client, identities if any and the items to backup. You can now schedule it according to hours, days, weeks or months. A start date for the backup plus the time completes this simple process.
Please note that for scheduled backups, Amic runs as an ‘EmailAutobackup’ process in the background and it installs a shortcut in the start-up folder. It runs invisibly and in slower computers you might notice a slight performance hit for the minuscule duration of the backup. It took me about 110 seconds to backup a year’s worth of data on my machine.

The Options on view

Few but sufficient would be an immediate assessment.
  • Gives a choice of backup to a new file or to overwrite an existing one. The files are easy to understand as they have the date appended, which even my four year old can understand.
  • Gives an option to keep a fixed number of the most recent backup files or all of them.
  • Significantly, a user can password protect all the backup files on the go. (Backup and secure all those emails from your ‘ex’ maybe!)
  • The choice of backups can be broken down to user specified zip sized or CD sized chunks (i.e. if you are an email clutterer, you could request, say, 700 MB chunks that would fit on a CD).
  • You can also backup all your IE Bookmarks.
  • Supports all versions of Outlook and Outlook Express (i.e. versions 2000, 2002, and 2003). Although the ‘Read Me’ does not mention compatibility with Vista or Outlook 2007, it ran without a hitch.

Small and nice…but with room for improvement.

Huey Lewis & the News sung ‘It ain’t a perfect world…’ and so it isn’t. At the risk of nitpicking here are some of the misses.
  1. It glaringly does not support ‘Thunderbird’. With Mozilla going great guns, this miss is top of the heap.
  2. It is only compatible with Windows so far among the operating systems.
  3. It cannot backup e-mail files from a network drive because it reads the email settings from the local Windows registry.
  4. It can restore only to the same type of email client from which it was created originally.
  5. An option to specify a default folder path would have been a slight time saver.
For now, let us disregard the five points; for a small adware-free download at 1.3Mb, providing ease of use and a freeware to top it all is worth a distance run.

Outlook Express Load Very Slowly

Among the other causes of this problem can be association of Outlook Express with Windows Messenger. To prevent the operating system to launch the Windows Messenger automatically go to Outlook Express > Tools > Options > Uncheck “Automatically log on to Windows Messenger.

Go to Start>> Run, type in: regsvr32 urlmon.dll and press Enter

Then open Internet Explorer and go to Tools>> Internet Options>> Programs and click on Reset Web Settings.

How to Send Emails via Yahoo Account

Yahoo SMTP and POP3 are the paid services and when you pay for these services you can send and receive emails from your Yahoo Accounts.

Emails Won’t Delete

This problem occurs due to the corruption of the “deleted items folder”. When user try to delete the emails the copy of it goes to the “deleted items folder”. Move all the messages from the “deleted Items folder” to another mail folder. Close Outlook Express and delete "Deleted Items.dbx" in your Identity's store folder.

Deleted Items.dbx is a hidden file in Windows XP operating system and In order to find this file you will need to be able to see hidden files.

Outlook Express Won’t Allow Attachments

Go to the Tools menu> Options> Security tab and remove the checkmark beside “Do not allow attachments to be saved or opened that could potentially be a virus".

Next Click apply and OK.

Quit Outlook Express and then re-launch it.

By Apply the above settings you will be able to see the email attachments to your hard disk.

5 Microsoft Outlook Troubleshooting Tips


Occasionally Microsoft Outlook will freeze or run into an error message, so use these 5 Microsoft Outlook troubleshooting tips to help resolve the issue. Nothing is worse than sitting down to respond to your emails and having Microsoft Outlook freeze up, or shut down due to an error message.   1. Does your system meet the minimum requirements to run Microsoft Outlook? In order to run Microsoft Outlook your system must have 256 megabytes of memory or more, as well as 1.5 gigabytes of hard drive space free. Repairing an Offline Folder file (.ost)


You may want to scan and repair your .ost if you:
  • Encounter a large numbers of conflict items.
  • Cannot open particular Outlook items when offline.
  • Receive unexpected synchronization error messages (as shown in the synchronization log in the Deleted Items folder).
  • Receive the message:
Unable to expand the folder. The set of folders could not be opened. Errors could have been detected in the file drive:\Documents and Settings\user\Local Settings\Application Data\Microsoft\Outlook\Outlook.ost. Quit all mail-enabled applications, and then use the Inbox Repair Tool.
 
Note The file path specified in the message may vary depending upon the operating system you are using on your computer.
 
In addition, you might be able to open folders in the .ost but get synchronization error messages that do not go away. This happens when a single e-mail message is damaged and the synchronization process cannot correct it. You can use the OST Integrity Tool to fix damaged messages or to move them so you can synchronize successfully.
 
Important: You may need to run scanpst.exe (see the first procedure above) first if the OST Integrity Tool cannot open the .ost file.
 
To scan and repair the .ost file
  1. Close Outlook.
  2. On the Start menu, click Run.
  3. In the Open box, type
drive:\Program Files\Common Files\System\Mapi\LocaleID\scanost.exe
where LocaleID is the locale identifier (LCID) for your installation of Microsoft Office. For example, the LCID for English (United States) is 1033. For a list of LCIDs, see Microsoft Office Help.
  1. Click OK.
  2. Click either Scan all folders or Choose folder to scan. If you click Scan all folders, this may take several minutes.
  3. Select the Repair errors check box.
  4. Click Begin Scan.

Duplicate junk e-mail messages appear in the Junk E-mail folder in Outlook 2003


SYMPTOMS
You receive duplicate e-mail messages in your Junk E-mail folder in Microsoft Office Outlook 2003 when all the following conditions are true:
• You have more than one instance of Outlook 2003 running on different computers, and all the instances are configured with the same Microsoft Exchange Server e-mail account.
• The junk e-mail protection level for your e-mail account is set to Safe Lists Only in Outlook 2003.
• Your Exchange Server does not filter incoming e-mail messages.
• All instances of Outlook 2003 use an Exchange Server e-mail account in Cached Exchange Mode.
• The sender of the e-mail message is not in your Safe Senders list in Outlook 2003.
• The sender of the e-mail message is not in your Contacts in Outlook 2003.
• The sender of the e-mail message is not in your Blocked Senders list in Outlook 2003.
• None of the recipients of the e-mail message are in your Trusted Recipients list in Outlook 2003

CAUSE
This problem occurs because Outlook 2003 has the junk e-mail protection level set to Safe Lists Only.

When you create a junk e-mail rule in Outlook 2003 with the junk e-mail protection level set to Safe Lists Only, the restriction structure (SRestriction) causes an Exchange Server that is running without junk e-mail filtering to decide if an e-mail message is junk e-mail or if it is not junk e-mail. Outlook 2003 then processes all the junk e-mail messages on the client side. If there is more than one instance of Outlook 2003 running, multiple copies of the same junk e-mail message can be moved from the Inbox to the Junk Mail folder while duplicates of the junk e-mail messages are created in the Junk E-mail folder.

RESOLUTION
This problem was first fixed in a hotfix that is now contained in a service pack. If you installed the latest Microsoft Office 2003 service pack, you do not have to install the hotfix.

Email Won't Send - Common Causes

There are a number of reports from users that Outlook won't send mail. In most cases, they are using Outlook 2003, but Outlook 2002 is affected in some cases.

Before you can fix the problem, you need to identify the cause.

The probable causes are:

1. An add-in that marks items read if you view the Outbox.
2. Not authenticating properly with the mail server.
3. No default email account set.
4. Using a program that access the pst or ost data, such as MSN Desktop Search.
5. An antispam or antivirus scanner is scanning outgoing mail.


Troubleshooting
First, check the Send/Receive progress dialog for error codes. Browse to Tools, Send/Receive, Send/Receive settings, Show progress and click on the error tab. The error will resemble this, with a different error number and possibly a better explanation than "unknown error"

To fix or rule out:

Cause #1: An add-in that marks items read if you view the Outbox.
# Symptom: you look at the mail in the Outbox and it's not bolded
# Quick Fix: Stop looking in the Outbox.
# See Outlook: After viewing the Outbox, e-mail won't send.
Cause #2: Not authenticating properly with the mail server.
# Check your account settings.
# Tools, E-mail accounts, View or Change existing accounts. Double click on the account and click More Settings.
# Check your settings on the Outgoing server tab. Generally, enabling authentication before sending won't cause problems.
# Do not enable SPA unless your mail server requires it.
Cause #3 No default email account set.
# Symptoms include being able to reply but not send new mail.
# This is may happen when you use a preconfigured script provided by the mail server administrator to set up your account.
# Go to Tools, E-mail accounts, View or Change existing accounts. Verify an account is set as default.
Cause #4: Using a program that access the pst or ost data.
# Symptom: Mail sends at first, then hangs in mailbox
# Send and Receive error code is: Task ' - Sending' reported error (0x80040119) : 'Unknown Error 0x80040119

# Restarting Outlook (after verifying it closed completely in Task manager) may allow the mail to send. otherwise:
# Reboot and disable the problem program before starting Outlook.
# If it continues to cause problems (such as send works for awhile after restarting Outlook, then stops), uninstall the software.

Programs that have prevented mail from sending for me include the following (but are not limited to these programs):
# MSN Desktop Search
# MAPILab's Attachment Processor
# NewsGator (v2.5 only)

If you discover other programs cause mail to hang in the Outbox, please let us know.

Cause #5: An antispam or antivirus scanner is scanning outgoing mail.
# Norton antispam plugin is one such program that will cause this problem, but it's not the only one.
# Disable Email scanning in the software.
# Raise the timeout (Tools, Email accounts, View or change existing accounts, More Settings.)
# Check your antispam or antivirus program's website for an update or possible workarounds.

If none of the above are the cause and the account settings look okay, turn on SMTP logging.

To turn on logging, go to Tools, Options, Other, Advanced and add a check to the box beside Enable Logging (troubleshooting). Because logging can cause Outlook to be unstable, initiate a send and receive and once you've reproduced the error, disable logging. Look for the log file at C:\Documents and Settings\\Local Settings\temp\OPMLOG.LOG

Fix POP3_RESPONSE_ERROR

Hi, I am going to discuss resolution for the You receive error (Client response invalid error) 0x800cc90 or 0x800ccc18 when you try ro log on to MIcrosoft Excchange Server with Outlook Express by using Password Authenticationan.

SYMPTOMS
When you try to log on to Microsoft Exchange Server with Outlook Express by using Secure Password Authentication, you may see the following error messages in Microsoft Outlook Express. Look in the Details of the Error tab after failing to connect.
* Unable to logon to the server using Distributed Password Authentication.
Account:'Company POP3 Server Accnt.',
Server: 'server.company.com',
Protocol: POP3,
Server Response: '-ERR The AUTH protocol exchange was canceled by the client.',Port: 110, Secure(SSL): NO, Server Error: 0x800ccc90, Error Number: 0x800ccc18
On the Exchange Server computer you will see the following Event IDs:
Application event log error:
13005 MSExchange Pop3 Authentication
Logon attempt by NTDomian\User from 157.57.148.24 to NtDomain/User has failed: EcGetMailboxDN() call failed with error The requested mailbox is not available on this server.

11310 MSExchange Pop3 Authentication
The following error occurred: The requested mailbox is not available on this server.

CAUSE

Either the Outlook Express POP3 client is not able to access the mailbox because it does not exist or there is a custom recipient in the Exchange Server organization that has the same alias as you do, and Exchange Server is attempting to access the custom recipient before accessing your mailbox.

WORKAROUND

In Outlook Express, try using Clear Text, which is the Log on using option under the Servers tab of the mail account.

To do so:
1. On the Tools menu, click Accounts. This will bring up several tabs.
2. If you select any listed mail account, the properties will have a Servers tab with the Log on using option.
3. Select the Clear Text option.
If this works, then you were trying to access a non-existent mailbox or the wrong mailbox. If this does not work, then the administrator needs to check for and remove the custom recipient.

OL98: Invalid Response Error Received When Retrieving Mail

This Error occure when The Post Office Protocol (POP) server has sent either a blank or invalid reply to the client request for a Unique Identifier Listing (UIDL).

You are attempting to retrieve Internet e-mail when you receive the error message:
The POP3 server sent an invalid response. please contact your system administrator. Server response '6' (Account '' POP3 Server: '' Error Number: 0x800ccc93)
The entry, , contains your information as provided by your Internet service provider (ISP). The entry, , is the friendly name you created for the mail account.

RESOLUTION

The error condition in most cases refers to a single message. There are three methods to clear the message.

Method 1

Use another mail client to download the message.

Method 2

Use the telnet terminal client to delete the message from the POP server. For more information about using telnet, please see the following article in the Microsoft Knowledge Base:

Method 3

If the option to keep messages on the server is selected, temporarily change this option to clear the message. To change this option, follow these steps:
1. On the Tools menu, click Accounts.
2. Click the Advanced tab. Under Delivery, click "Leave a copy of messages on the server."
3. Click OK and then Close.

Internet mail standards are defined in a series of documents that are known as Requests For Comments (RFC). The standards for POP mail transport were initially defined in RFC 1725. Changes to the standards are published in RFC 1939 which supercedes RFC 1725.

RFC 1939 specifies that a POP server assign unique identifiers to messages. Previously these identifiers were optional. RFC 1939 also specifies the following parameters for the UIDL:

• The UIDL consist of the message number followed by a space and then the arbitrary server-assigned number from one to 70 characters in the range, 0x21 through 0x7E.

• The UIDL remain persistent across multiple sessions.

• A UIDL should never be reused by the server for as long as a entity exists.

Recognizing the Outlook Express Error

In order to understand what a particular MSOE error means, it is important to learn how to read an MSOE error message. The error message will appear in a dialog box and, usually, will not give the average user any real insight into the error that has occurred. Therefore, it is important to make a note of the error number, which is usually located at the end of the error message.

The remainder of this article will address MSOE problems by error number, as this is the most common ways to recognize a particular error.

General Errors

0x800CCC00: Authentication did not load

If you receive this error, reboot your computer and try to open the program again. Next, check “service status” for any mail problems. If the problem persists, it is possible that your mail account has become corrupt. Setup a new account in MSOE and re-enter your mail connection details.

0x800CCC01: Invalid certificate content or 0x800CCC02: Invalid certificate date

This error mans that the digital certification of your encrypted emails cannot be verified because your digital certificate is either out-of-date or has been revoked. Have your certificate re-issued or try recreating your mail account profile.

0x800CCC03: User already connected

0x800CCC05: Not connected to server

This means that MSOE cannot communicate with the mail server. To correct this issue, be sure that you are connected to the Internet. If you are connected, double-check your mail server address. If you are not connected to the Internet, reconnect and try again.

0x800CCC0A: Incomplete

This error could possibly be the result of a corrupted pop3uidl file. To correct, close your Internet connection and all programs. Search for the file pop3uid.dbx and rename it pop3uid.xxx. Reconnect to the Internet and try loading MSOE again. If this does not work, reboot and try again.

If the pop3uidl is not the issue and the problem persists, it is possible that mail that is waiting in the mail server has been corrupted. This is often caused by a large file attachment or mail with missing headers. For Pop3 accounts, you may view the contents of your mailbox by accessing your mail via the Internet. This may allow you to identify the problem and delete the email that is causing the problem.

0x800CCC0B: Server or mail drop is busy

The mail server may be running slowly because of heavy email traffic. Wait 5 minutes and try again. If the problem continues, check the service status page to see if there is a known problem with the particular email service.

0x800CCC0D: Cannot locate server

To correct this issue, be sure that you are connected to the Internet. If you are connected, double-check your mail server address. If you are not connected to the Internet, reconnect and try again.

0x800CCC0E: Cannot connect to server

To correct this issue, be sure that you are connected to the Internet. If you are connected, double-check your mail server address. If you are not connected to the Internet, reconnect and try again.

0x800CCC0F: Connection closed

This error means that your modem or network was disconnected. If you access the Internet through a dial-up connection, there may be noise on your phone line and you may need updated modem drivers, or an init string. With other Internet connections, the problem may be with your network hardware or drivers.

0x800CCC10: Address not known on server

MSOE cannot deliver an email because the address is invalid. Check the spelling and format of the address and try again. You will need to delete the old message from your outbox to stop the error from repeating.

0x800CCC11: Mailing list not known on server

MSOE cannot deliver to a particular mailing list, possibly because one of the email addresses is invalid. Check the spelling and format of all addresses.

0x800CCC12 or 0x800CCC13 or 0x800CCC14 or 0x800CCC15: Winsock problems

This error usually means that there is a glitch in your network protocols. A common fix is to re-install your TCP/IP and sometimes a simple re-boot will correct the problem.

0x800CCC16: User account not recognized

This error usually means that your username and/or password are wrong. If they are correct, try setting up another identity with the same account details. If this works, the original account has been corrupted.

0x800CCC17: User canceled operation

This error occurs if you press cancel during the sending and receiving of email. If this problem continues, the file pop3uidl.dbx may have become corrupt. Search for the file pop3uid.dbx and rename it pop3uid.xxx. Reboot your system and reload MSOE.

0x800CCC18: Logon attempt failed

This error means that MSOE was rejected while attempting to connect to your mailbox. To correct this issue, verify your account information and make sure that the account is still active.

0x800CCC19: Timeout

This error is usually the result of a temporary glitch. Try rebooting your system and loading the program again. If the problem persists, the file pop3uidl.dbx may have become corrupt. Search for the file pop3uid.dbx and rename it pop3uid.xxx. Reboot your system and reload MSOE.

0x800CCC1A: Unable to connect using SSL

This error indicates a problem connecting using the “Secure Socket Layer” or “SSL”. To correct, turn off SSL in the Outlook Express settings.
